Room Reservations

Room Reservations Spring 2024

 

Cabot House students and staff are welcome to reserve space for House-sponsored activities and events and as meeting spaces for recognized student organizations in good standing with the College.

Please note, many spaces in Cabot are open for use without reservations and some are freely available unless there is a scheduled event. The common spaces are not available for reservations on University Holidays or during Reading/Exam Period (April 25-May 1; May 2-11). Please note that priority will be given to House/Tutor scheduled meetings and events; however, every effort will be made to avoid conflicts.

Guidelines  

  • Common spaces can be reserved between 8 a.m. to 10 p.m. every day

  • Rooms can be reserved up to 1 month in advance

  • Students may not reserve all of the common rooms on the same day or at the same time 

  • Rooms must be reserved for any group event or gathering of more than 5 people
  • Alcohol is prohibited in all Cabot common spaces

  • If you are a Cabot student reserving a space on behalf of a student organization, you must be an active member of the organization, must be present for the entirety of the meeting, and are responsible for ensuring the meeting complies with all room reservation guidelines.

  • The room requester is responsible for meeting their guests at the main entrance and escorting them at all times while in residence.

  • The Cabot Common Rooms are best equipped for quiet study and student organization meetings rather than large student organization social events. If your student organization is hosting a social event, please reach out to JR Bagley in the DSO for guidance. The SOCH and Campus Center can also be good options for those types of gatherings! Please note: Officers of ISOs, RSOs, and DSSOs must receive approval for conferences and other large events from the Dean of Students Office prior to planning such events.

  • Recruiting events are not allowed in the Houses, per College policy. Please contact OCS for assistance in setting up these events. Please consult with OCS before hosting any career-oriented guest-speaker events.

  • Interhouse Dining Hall restrictions apply to non-Cabot students visiting the residence for approved meetings or events.

  • You are required to leave the space in good condition – this includes disposing of any trash and ensuring the furniture is returned to its original location. If you store personal items or equipment in common rooms, they will be discarded by House staff. Please be courteous to our House members and include preparation and clean up time when scheduling your reservation. Students may be held liable for any damage to Harvard/Cabot property.

  • No liquids or fluids of any kind should be placed on the pianos.

  • House Staff and Resident Tutors may cancel a reservation at any time if the event is deemed unsafe, or not following Harvard guidance around event safety, or guidance in the Harvard Student Handbook. The ability to make future reservations may be suspended at the discretion of House Staff or Residential Tutors for violations.

How To Reserve

  • Review the room reservation guidelines and room capacity chart below

  • Log into FAS Roombook and select the “Cabot House Rooms - Students” template to review space availability and submit your request

  • If you would like to reserve a room over the weekend, please submit your request by Wednesday 5pm, so that it can be reviewed and approved in time

  • You’ll automatically receive a summary email with your request details and a "pending approval". The House Administrator will review the request (and at times, may consult with the House team) and respond within 48 business hours (unless there is a University holiday or other significant event). 

  • If you need to make a change or cancel your request after submission, you can do so by going to the “My Events” section on the left hand-side menu in Roombook.
